Getting Started
What is ParentCareHQ?
ParentCareHQ is a care coordination hub for adult children managing an aging parent’s affairs. It centralizes medical records, appointments, medications, legal documents, finances, home management, and family communication — all in one secure place.
How do I create my first care profile?
After signing up, an 8-step setup wizard walks you through your parent’s contact info, emergency contacts, insurance details, and primary doctor. Every step has a “Skip for now” option — nothing is required upfront.
How do I invite family members?
Open any care profile and go to Care Team. Enter the person’s email and assign their role: Owner (full access), Caregiver (can add and edit records), or Viewer (read-only). They’ll receive an email with a link to accept the invitation.
What devices does ParentCareHQ work on?
ParentCareHQ is a web app that works on any modern browser — desktop, tablet, or phone. No app download is required. On mobile, you can add it to your home screen for an app-like experience.
Using the App
Can I add ParentCareHQ to my phone’s home screen so it works like an app?
Yes! ParentCareHQ is a Progressive Web App (PWA), which means you can add it to your home screen and it opens full-screen just like a native app — no App Store required. We have a step-by-step guide for iPhone and Android.
Managing Care
How do medication reminders work?
Add a refill date when entering a medication. ParentCareHQ will send you a reminder email 3 days before the refill is due. Reminders are sent once per medication per refill cycle.
Can I sync appointments to my calendar?
Yes. Each care profile has a personal calendar feed (iCal format) under the Calendar module. Subscribe to the feed URL in Google Calendar or Apple Calendar and appointments will sync automatically — including the event time and provider name.
How do I share modules with another family profile?
If you manage care for more than one person, certain modules (like Bills, Properties, and Assets) can be shared across profiles. Open the module settings inside any profile to link it to another profile you manage.
What file types can I attach to records?
PDF, JPG, PNG, HEIC, and Word documents are supported, up to 20 MB per file. Most modules support file attachments — look for the “Attach” option on any record.
Security & Vault
What is the Credentials Vault?
The Credentials Vault stores sensitive items — bank account numbers, PINs, logins, and similar information — encrypted with a passphrase that only you know. The passphrase never leaves your device. Even ParentCareHQ cannot read vault contents.
What if I forget my vault passphrase?
When you set up your vault, you receive 8 one-time backup codes. Each code can unlock the vault once. Download and store them somewhere safe. If you lose both your passphrase and all backup codes, vault contents cannot be recovered — this is a fundamental property of client-side encryption.
What are vault-protected file attachments?
Any file attached to a record can be marked as vault-protected using the padlock icon. Once protected, the file is hidden from all care team members unless the vault is unlocked. To remove the protection, you must first unlock the vault.
Are uploaded files encrypted?
Regular file attachments are stored securely with access controlled by role permissions. For maximum security, use the Secure Files section inside the Credentials Vault — files uploaded there are encrypted on your device before upload, so the server stores only encrypted data.
Billing & Account
How does the free trial work?
You get full access to all features for 14 days. Your card is saved at signup but not charged until the trial ends. Cancel any time before day 14 and pay nothing.
What happens when my trial ends?
Your subscription activates automatically and your card is charged for the plan you selected. You’ll receive a receipt by email.
Can I switch from monthly to annual?
Yes. Go to Account → Subscription at any time. The upgrade is prorated — you’ll only pay the difference for the remaining days in your billing cycle. Annual billing saves about 17% compared to monthly.
What happens to my data if I cancel?
Access continues until the end of your billing period. After that, your dashboard is locked but your data is preserved for 30 days. Resubscribe any time within that window to regain full access. After 30 days, all data is permanently deleted.
How do I update my payment method?
Go to Account → Subscription and click “Manage billing.” This opens the Stripe-hosted customer portal where you can update your card and view past invoices.
